What is a Product Origin Request
A Product Origin Request is a request sent by a downstream customer of yours. It is your task to provide details on where the product you sell to your customer, or parts of it, originate from. In accordance with EUDR regulations Article 9, 1 (d) and to fulfil Due Diligence obligations, companies are required to trace product(s) back to their origins. Product Origin Requests (PORs) are an essential tool to help businesses follow the EU Deforestation Regulation. They make sure that products imported and sold in the EU are not linked to deforestation, helping companies stay compliant, protect the environment, and build consumer trust.
What is a Due Diligence Statement (DDS)?
A due diligence statement (DDS) is a formal declaration submitted by operators and traders to the EU Information System before products are placed on the EU market or exported. By submitting the DDS, the company confirms that it has completed its due diligence process to ensure the products are deforestation-free, produced legally, and that the risk of non-compliance is negligible.
The DDS in Prewave consists of a reference number and verification number. This information can be created by using the European Commission's TRACES system, where you can uploaded a completed declaration. Once you have the numbers from TRACES, you can add them into the Prewave portal based on the product you supply to your customer. Our system does a check against TRACES to confirm validity.
Why is the status of my Product Origin Request showing as "rejected"?
This is an acceptable status. It just means that you have marked the product as non-relevant to the EUDR under one of the Taric Codes we have in our system.
What are Taric Codes?
These codes are options that you can select depending on the reason that your product or products are not in scope of the EUDR
TARIC-code Y133 - The product is made entirely from commodities sourced from recycled materials. A recycled good means it is made of waste (Article 3, point (1), of Directive 2008/98/EC).
TARIC-code Y129 - The product is not concerned by the Regulation due to its composition. This includes materials like synthetic rubber, bamboo, and rattan.
TARIC-code Y132 - The product was produced before June 29, 2023. "Produced" means grown or harvested, from relevant plots of land, for example felling trees, tapping latex or harvesting coffee.
TARIC-code Y141 - The product is delivered by a micro- or small-sized undertaking. Applies to micro- and small-sized undertakings pursuant to Article 38(3) established before December 31, 2020, with the exemption lasting until June 30, 2026.
I made a mistake when sending, how can I do the Product Origin Request again?
In this case, please contact us at [email protected] and we will support you in doing this.
Can I batch upload DDS information?
In your Product Origin Request interface, select the tab at the top "Product by Customer".
After this you will see the option on the right to "Batch Share DDS". You will need to use our XLS or CSV template to provide this information.
For the template, please see the Batch Share DDS help article here.
What evidence should I upload?
While the regulation does not mandate specific proof that your non-relevant product is exempt, the best way to demonstrate its out-of-scope status to relevant authorities (like the Competent Authorities or customs) is through:
Product Classification / HS Code Documentation: Providing Customs-related documentation that definitively classifies your product under its correct Harmonized System (HS) or Combined Nomenclature (CN) code. Since synthetic rubber is not the commodity of concern, the relevant classification would demonstrate its non-relevance.
Material Composition Evidence: Having clear, verifiable documents, such as technical specifications, invoices, or suppliers' declarations, that confirm the product is made entirely of synthetic rubber and does not contain any of the relevant commodities (natural rubber, wood, cocoa, coffee, palm oil, soya, or cattle).
My product contains synthetic rubber, how can I mark it as not relevant?
Click "Answer" on the right of each product row
Click "The product is not EUDR-relevant"
Click "The product is due to its composition not concerned by the Regulation"
Add a comment and upload a file (evidence that the product is not relevant)
Click Finish
Once back on the main screen click "Send" on the right to close the request.
I am not sure if my company is classed as an SME
SMEs as defined in Article 38(3) are exempt from the EUDR requirements until June 30th, 2026. An SME is defined as a company that meets at least two of the following criteria in the fiscal year of 2020 (Article 3(2) of Directive 2013/34/EU):
Balance sheet total: ≤ EUR 5,000,000
Net turnover: ≤ EUR 10,000,000
Average number of employees during the financial year: ≤ 50
